Invoice clients and record payments
Create event invoices, collect online or offline payments, send reminders, and track balances.
What you’ll achieve
Accurate event and customer balances with a clear payment history for the studio and client.
01
Create an event invoice
Invoices live with the event and also appear on the connected customer profile.
Workflow at a glance
- 1
Open event billing
Go to the event and choose its billing area.
- 2
Add the invoice
Enter a label, invoice number, amount, issue date, due date, and any client notes.
- 3
Review the draft
Confirm client, currency, dates, and total before sending.
- 4
Send the invoice
Use Send to make the public invoice available and queue the client message.
02
Collect and record payments
The event can combine online collection with payments received outside Qubold.
- 1
Share the payment page
The client can open the invoice link and pay the amount due when online payment is available.
- 2
Record offline collection
Add cash, bank transfer, or another external payment to keep balances correct.
- 3
Verify allocation
Connect the payment to the appropriate invoice whenever possible.
- 4
Review the remaining balance
The event and customer profile update the collected and outstanding totals.
03
Follow up on unpaid balances
Use manual reminders or automation to make collection consistent without losing the personal client relationship.
- 1
Review the due date
Check sent and overdue invoices from the event or customer record.
- 2
Send a reminder
Use the invoice action to resend the payment link.
- 3
Automate standard reminders
Create a payment-reminder rule in Communications when your process is predictable.
- 4
Confirm paid status
Make sure successful or recorded payments are reflected before final delivery.
- Use clear due dates and payment notes on every invoice.
- Do not record the same external payment twice.
