Communicate consistently

Send or schedule messages, manage reusable templates, and automate timely client follow-ups.

What you’ll achieve

Reliable client communication that stays personal while reducing repetitive follow-up work.

01

Send or schedule a message

Use the outbox for one-off messages and complete visibility into delivery status.

  1. 1

    Open Communications

Choose Compose from the Outbox area.

  2. 2

    Add recipient and message

Enter the client name, email, subject, and content.

  3. 3

    Send now or schedule

Leave the schedule empty for immediate delivery or choose a future date and time.

  4. 4

    Watch delivery

Check Scheduled, Sent, or Failed status and retry a failed message when the cause is resolved.

02

Use reusable templates

Templates keep routine messages clear and on-brand across the studio.

  1. 1

    Open Templates

Review the messages available for contracts, forms, invoices, reminders, and delivery.

  2. 2

    Edit the wording

Adapt the subject and message to your studio voice.

  3. 3

    Keep placeholders intact

Use the supported client, studio, and action-link placeholders where personalised details belong.

  4. 4

    Pause a template when needed

Inactive templates will not be used for new messages.

Studio tips
  • Keep automated messages concise and make the next action obvious.
  • Send a test to yourself after major template changes.

03

Create workflow automations

Automation rules connect an important client event to the right message and timing.

Workflow at a glance

Step 2Automation rule
Step 3Message scheduled
Step 4Delivery
Step 5Outbox status
  1. 1

    Choose New automation

Give the rule a name your team will understand.

  2. 2

    Choose the trigger

Use contract, questionnaire, invoice, event, selection, or gallery activity.

  3. 3

    Choose the template

Match the trigger to a message with the right wording and action link.

  4. 4

    Set the timing

Send immediately or add a delay that fits the workflow.

  5. 5

    Monitor and pause

Review the Outbox and switch off rules that are no longer appropriate.
